The most useful n8n templates for marketing agencies fall into five groups: lead capture and routing, sales alerts, client onboarding, reporting, and client health and billing. n8n's public template library has thousands of community workflows you can import in a click, but a template is a starting point, not a finished system. The value comes from adapting it to your CRM fields, your Slack channels and your error handling.
Below are the twelve workflows I would build first in any agency, what each one does step by step, and how to tell a good template from one that will cause you problems.
How to use n8n templates without regret
Importing a template is easy. You find it in the template library, click to use it, and it lands in your instance with every node in place. What it does not include is your credentials, your field names or your edge cases.
Before turning any template on, I go through this checklist:
- Read every node. Know what each step does and which apps it touches.
- Replace credentials with your own, using a dedicated service account where possible.
- Map fields to your data. Templates assume field names like email and phone. Your GoHighLevel or HubSpot setup may use custom fields.
- Hard-code IDs. Spreadsheet IDs, channel IDs and list IDs should be fixed, not passed around.
- Add error handling. Most community templates have none. Add an Error Trigger workflow that posts failures to Slack.
- Test with real but safe data. Use a test contact and a test Slack channel first.
- Remove anything you do not need. Fewer nodes means fewer things to break.
n8n templates for lead generation
1. Form to CRM with source tagging
Trigger: Webhook from your website form, Typeform, Tally or a landing page builder. Steps: normalise name, email and phone, check for an existing contact, create or update the contact in the CRM, add a source tag and UTM fields, notify the right person in Slack. Why it matters: every lead lands in one place with clean data and a source you can report on later. See form to CRM automation for the full pattern.
2. Facebook and Google lead form sync
Trigger: the lead ads trigger or a webhook from the ad platform. Steps: pull lead fields, map them to CRM fields, start the follow-up sequence, log the lead to a sheet per client. Why it matters: ad leads get followed up in minutes rather than when someone checks the ads manager.
3. Lead enrichment
Trigger: new contact created. Steps: look up company domain and details from an enrichment API through the HTTP Request node, write the results back to the CRM, score the lead. Why it matters: sales sees context before the first call.

4. Positive reply alert for cold email
Trigger: webhook from your cold email platform when a reply is categorised as positive. Steps: ping the sales channel in Slack with the lead and message, log the lead to the outreach sheet, update or create the deal in ClickUp or the CRM. Why it matters: hot replies get answered while they are hot. I built this exact flow for an agency in Make: positive replies trigger a Slack ping, a row in the outreach sheet and a ClickUp update. You can see it on my work page, and I go deeper in positive reply alerts for cold email.
5. Booked call handoff
Trigger: a new booking from Calendly, Cal.com or GoHighLevel calendars. Steps: find the contact, attach the booking to the deal, send a prep summary to the closer in Slack, create a follow-up task for after the call.
6. Proposal follow-up reminders
Trigger: deal stage changes to "proposal sent". Steps: wait a set number of days, check whether the stage has moved, if not create a task and send a reminder to the owner.
n8n templates for client onboarding
7. Client onboarding workspace
Trigger: a signed contract, a paid invoice, or an internal intake form. Steps: create the Google Drive folder structure from a template, copy the onboarding doc and fill client details, add a row to the client master sheet, create the ClickUp folder or list with the onboarding tasks, create the Slack channel, send the welcome email. Why it matters: this is the single highest-value automation in most agencies. In one build I replaced about 40 manual setup steps per new client with one form submission, and the workspace is ready in under two minutes. That one ran on Make with Webhook, Drive, Sheets, Docs and ClickUp, and it is on my work page. The same structure works in n8n.
n8n templates for reporting
8. Weekly client report digest
Trigger: Schedule, every Monday morning. Steps: pull last week's numbers from GA4, Search Console or Google Ads, write them to a sheet per client, generate a short AI summary, post it to the client's Slack channel or email it to the account manager for review. Why it matters: account managers stop copying numbers by hand. More in my guide to agency client reporting automation.
9. Rank or traffic drop alert
Trigger: Schedule, daily. Steps: pull clicks and impressions per client from Search Console, compare against the trailing average, alert in Slack if a drop crosses your threshold.
n8n templates for client health and billing
10. Client health alert
Trigger: a change to a health status field in ClickUp, or a weekly score calculation. Steps: look up the account owner, pull context from the client sheet, alert the right person in Slack and create a ClickUp task.
11. Failed payment alert
Trigger: a Stripe webhook for a failed invoice payment, or a billing email arriving in a dedicated inbox. Steps: extract the client, invoice and amount, ping billing in Slack, log a ClickUp task, start a polite reminder sequence. Why it matters: failed payments get chased the same day. My own build of this parses billing emails with pattern matching and is on the work page.
12. Client wins to Slack
Trigger: a message in a wins channel or a form. Steps: pull the client's context from Docs, have AI format the win, post it to a team channel and save it for case studies.
n8n templates for business operations in general
Beyond agency-specific flows, these general templates are worth having:
- Invoice and receipt extraction from email into accounting.
- New hire onboarding: accounts, docs and checklist.
- Backup of key Google Sheets to a dated folder.
- Uptime checks on client websites with a Slack alert.
What makes a template good or bad
Good templates:
- Have one clear trigger and a single job.
- Use sticky notes to explain each section.
- Use native nodes where they exist rather than raw HTTP calls.
- Include an error path or at least make one easy to add.
Bad templates:
- Chain five unrelated jobs in one workflow.
- Use Code nodes for things a native node handles.
- Hard-code someone else's IDs or API keys in expressions.
- Rely on community nodes you would need to install and maintain.
- Assume perfect data with no checks for empty fields.
Template vs custom build
A template saves you an hour on the skeleton. It does not save you the time spent understanding your own process, mapping fields, handling edge cases and testing. For lead alerts and simple syncs, adapting a template is usually enough. For onboarding, reporting and anything that touches money, I build from scratch around your stack, because the details are where these workflows break.
If you are weighing n8n against the alternatives before committing, my n8n vs Zapier vs Make comparison covers the trade-offs, and n8n workflow examples has more general patterns.
How I build this
Most agencies get the biggest return from onboarding first, then reporting and alerts. My Agency Onboarding Engine is a fixed-price, five-day build of the onboarding workflow above, and the Agency Reporting and Alerts Pack covers reporting, health and billing alerts. If you are not sure where to start, request a free 15-minute Loom teardown and I will map which of these twelve would save you the most time.
FAQ
Where can I find n8n templates?
n8n has an official template library on its website and inside the editor, with thousands of community-submitted workflows you can import directly. Always review and adapt them before use.
Are n8n templates free?
The templates in n8n's public library are free to import. You still need an n8n instance to run them, whether self-hosted or on n8n Cloud, and some templates use paid third-party APIs.
What are the best n8n templates for lead generation?
Form to CRM with source tagging, lead ad sync, lead enrichment and instant Slack alerts for new leads. Start with whichever closes the biggest gap between a lead arriving and someone responding.
Can I use Make or Zapier templates in n8n?
Not directly. The formats are different, so you rebuild the logic in n8n. The workflow design usually transfers well, even if the nodes do not.
